Pricing Policy

This Pricing Policy sets out how Alpha Janitorial Services (“we”, “us”, or “the Company”) determines and applies prices for its janitorial services.

  1. Quotation Basis & Scope
    • All quotes are based on the scope of work defined in the Service Agreement or Proposal (location, size of premises, frequency of service, special tasks, equipment/supplies required).
    • If the scope of work changes during service (e.g., additional rooms, exceptional cleaning, extra frequency), the original quote may be adjusted accordingly.
    • Unless otherwise stated, quotes assume standard working hours, standard cleaning supplies, and standard access to premises.
  2. Pricing Structure
    • We may offer pricing on one or more bases: hourly rate, per-visit flat fee, per square foot, monthly recurring rate, or project basis.
    • Recurring service contracts (e.g., weekly, bi-weekly, monthly) may carry preferred rates based on commitment and frequency.
    • Special services (e.g., deep cleaning, floor stripping & waxing, post-construction cleanup, window washing) will be priced separately.
  3. Effective Date of Pricing
    • A quoted price is valid for the time period specified in our quotation (typically 30 days) unless the scope changes or circumstances intervene (e.g., cost of materials or labor increases).
    • Once a service contract is in place, pricing will remain fixed for the initial term, subject to any specified escalation clause (see below).
  4. Price Changes / Escalation
    • We may increase prices for recurring contracts on renewal or if there is a significant increase in labor, supply, or regulatory costs, or a change in service scope.
    • Any price increase will be communicated in writing at least thirty (30) days before effecting the new pricing.
    • Additional services requested outside of the agreed scope will be billed accordingly.
  5. Payment Terms
    • Unless otherwise agreed in writing: for recurring services, invoices are issued monthly and must be paid within thirty (30) days of the invoice date (“Net 30”). For one-time or project services, payment is due upon completion unless otherwise noted.
    • Accepted payment methods include (but are not limited to) check, ACH/bank transfer, and credit card (if applicable).
    • A deposit may be required prior to commencement of service (e.g., for first-time clients or large one-time jobs).
    • Late payments: If payment is not received within the agreed period, the Company may charge interest at a rate of ___% per month (or the maximum permitted by law), and may suspend service until payment is made.
  6. Cancellation / Rescheduling & Fees
    • If the client cancels or reschedules a service with less than the required notice (e.g., 24/48/72 hours depending on agreement), a cancellation fee may apply.
    • For recurring contracts, repeated cancellations or significant schedule changes may alter pricing or result in termination.
  7. Supplies & Equipment
    • Unless otherwise agreed, our quoted price includes standard cleaning supplies and equipment. If the client requires special materials (green/eco-friendly products, high-end equipment, specialty services) or provides equipment/supplies, pricing may reflect that.
    • If supplies/equipment provided by others cause delays or additional costs, those may be passed through.
  8. Access & Site Conditions
    • The quoted price assumes the client will provide reasonable access to the premises, free of hazard, and safe working conditions.
    • If access is denied/delayed or the site is in unsafe/unusual condition (excessive clutter, unknown hazardous condition, etc.), additional charges may apply.
  9. Adjustment for Extra Work
    • Work outside the scope of the initial quote (e.g., extra rooms, deep cleaning tasks, additional hours, after-hours service, emergency service) will be subject to additional charges at our standard rates or a mutually agreed special rate.
  10. Refunds / Credits
    • If we fail to deliver the agreed service (per the Service Agreement) and the client notifies us within the requested timeframe (e.g., 24 hours), we may issue a service credit or re‑perform the work at no extra cost. Refunds are at the Company’s discretion and are not guaranteed unless agreed in writing.

Terms & Conditions

These Terms & Conditions (“Terms”) apply to all cleaning and janitorial services provided by Alpha Janitorial Services (“we”, “us”, “our”) to the client (“Client”, “you”, “your”). By engaging our services you agree to these Terms.

  1. Parties & Agreement

    This Agreement is between Alpha Janitorial Services and the Client, the details of which are set out in the Service Agreement, Proposal, or Quotation. The Service Agreement (or Proposal) plus these Terms constitute the entire agreement.

  2. Scope of Services

    We will perform the cleaning and janitorial services described in the Service Agreement, Proposal or Quotation (the “Services”). We shall perform the Services in a professional manner, consistent with industry standards. The exact tasks, frequency, premises, and any exclusions must be set out in the Service Agreement.

  3. Term, Renewal & Termination
    • The initial term of the service engagement is as stated in the Service Agreement.
    • If the contract is recurring, it may automatically renew for successive periods unless either party gives written notice of non‑renewal at least thirty (30) days prior to the end of the current term (unless different notice is specified).
    • Either party may terminate the Agreement if the other party is in material breach and fails to remedy within a reasonable period (e.g., fourteen (14) days after written notice).
    • Upon termination, you shall pay for all Services rendered up to the termination date. If early termination by the Client is outside the agreed terms, a termination fee may apply.
  4. Client Obligations & Access
    • You must provide access to the premises at the agreed times, provide necessary utilities (power, water, light) and ensure the premises are safe for our personnel.
    • You must inform us of hazards (chemical, biological, structural), alarms/security systems, pets, or unusual conditions.
    • If access is delayed/denied or the site is unsafe, we reserve the right to suspend service or charge a lock‑out or delay fee.
  5. Supplies, Equipment & Standards
    • Unless otherwise stated, we supply standard cleaning supplies and equipment. If you supply supplies or expect particular branded/“green” products, please notify us in advance.
    • We may refuse to use certain supplies or equipment if they pose safety risks or are incompatible with our methods.
    • Our staff are trained professionals but you must remove clutter (if required) to enable proper cleaning. If a room is excessively cluttered, certain tasks may not be possible under the quoted price.
  6. Pricing & Payment (incorporates Pricing Policy)
    • You shall pay for the Services in accordance with the Pricing Policy above and the terms in the Service Agreement.
    • Invoices are issued as specified; payment due within the agreed number of days (typically 30). Late payments may incur interest, service suspension, or collection costs.
    • If you dispute any invoice, you must provide written notice within ___ days of the invoice date; you must pay undisputed amounts while the dispute is resolved.
    • We reserve the right to adjust pricing for renewals, increased scope, and additional or special services.
  7. Cancellation or Rescheduling
    • For one‑time services: if you cancel or reschedule with less than ___ hours’ notice (typically 24–72 hours), you may incur a cancellation fee equal to ___% of the scheduled service or the minimum charge.
    • For recurring services: repeated cancellations, significant changes, or cancellation without required notice may lead to adjustment of pricing, termination of service, or a cancellation fee.
  8. Quality Guarantee & Remedies
    • If you are dissatisfied with the Services, you must notify us within 24 hours (or other specified timeframe) and we will use commercially reasonable efforts to re‑perform the affected part of the service at no extra charge.
    • This is your sole remedy; we strive for professional standards but do not guarantee perfection or eliminate every possible risk.
  9. Liability & Insurance
    • We carry commercially reasonable insurance for worker’s compensation, general liability, and property damage as required by law.
    • We are not liable for (i) damage or loss caused by you or third parties, (ii) pre‑existing conditions, or (iii) conditions beyond our control (e.g., structural defects, hidden hazards).
    • Our liability for direct damages shall in no event exceed the amount paid by you for the Services in the preceding ___ months. We are not liable for indirect, incidental, punitive, or consequential damages.
  10. Indemnification

    You agree to indemnify, defend, and hold us harmless from any and all claims, liability, damages, losses, and costs (including attorney’s fees) arising out of your negligence, misuse of services, failure to provide safe access, or the provision of false information.

  11. Force Majeure

    We shall not be liable for any failure or delay in performance due to causes beyond our reasonable control (e.g., acts of God, fire, flood, war, strike, government regulation). During such an event, we may suspend performance until the event is resolved.

  12. Confidentiality & Privacy

    We respect your confidentiality and privacy. Any personal data you provide is used only for scheduling and the provision of services. We will not share your confidential business information except as required by law.

  13. Governing Law & Jurisdiction

    The laws of the State of Illinois shall govern this Agreement. Any dispute shall be resolved in the state or federal courts located in [County], Illinois.

  14. Amendments

    These Terms may only be amended by a written document signed by both parties. Any service‑specific deviations must be documented in the Service Agreement.

  15. Severability

    If any provision of this Agreement is held invalid or unenforceable, the remainder shall remain in full force and effect.

  16. Waiver

    No waiver of any right under this Agreement shall be effective unless in writing and signed by the party granting the waiver. The failure to enforce any provision shall not constitute a waiver of future enforcement.

  17. Entire Agreement

    This Agreement (Service Agreement/Proposal + these Terms) constitutes the entire agreement between the parties and supersedes all prior discussions, negotiations, warranties, or agreements, whether written or oral.

  18. Signatures

    Both parties should sign the Service Agreement / Proposal and retain a copy for their records.
